There are many different names and acronyms for an IRS-issued EIN number.  This causes a lot of confusion.  Many people do not know what the acronyms are short for, as well as if there are any differences between the different names for a federal EIN.  Let's try to clear up some of the confusion.

THE 3 MOST COMMON ACRONYMS FOR AN EMPLOYER IDENTIFICATION NUMBER ARE AS FOLLOWS:

  1. EIN (Employer Identification Number) - An IRS-assigned tax identification number for any entity type.  The IRS EIN number allows the entity to be treated as a business for legal and taxation purposes, open a bank account and/or hire employees.
  2. FEIN (Federal Employer Identification Number) - This is exactly the same as an EIN, except the name clarifies that it is a federally assigned IRS tax ID number.
  3. TIN (Taxpayer Identification Number) - This is a generic acronym which includes all types of tax ID numbers.  An EIN or FEIN is a specific type of tax ID number.

WHAT IS AN EIN NUMBER?

An EIN number is a unique nine-digit number assigned by the Internal Revenue Service (IRS) in the following format: XX-XXXXXXX.  The taxpayer identification number is issued to businesses as well as other entities operating in the United States (and in some cases abroad in foreign countries) for the purposes of identification.  When the IRS EIN number is used for identification purposes, it is usually referred to as a Taxpayer Identification Number (TIN).  When the IRS EIN number is used for the purposes of reporting employment taxes, it is usually referred to as an Employer Identification Number (EIN).

DO I NEED A FEDERAL EIN?

You will need to apply for a Federal Employer Identification Number (FEIN) if you: (1) hire employees, (2) operate your business as a corporation, multi-member LLC, non-profit organization or partnership, (3) file an alcohol, tobacco and firearms tax return, employment tax return or excise tax return, (4) withhold taxes on income for domestic individuals, (5) have a Keogh plan (which is a tax deferred retirement plan for the self-employed), or (6) are involved with an estate, farmers' cooperative, real estate mortgage investment conduit, plan administrator or trust.

WHEN IS A NEW IRS EIN NUMBER REQUIRED?

If you already have a federal tax ID number issued, but the business entity or ownership of the business changes, you may need to complete another tax ID number application.  A few examples of when you will need to obtain a new federal tax ID include: (1) when you change business structures (such as changing from a sole proprietorship to a corporation, or changing from a partnership to a corporation), (2) when you terminate your partnership and form a brand new partnership, (3) when you purchase or inherit an existing business, (4) when the Secretary of State issues a new charter to your corporation, (5) when your corporation becomes a subsidiary of another corporation, or (6) when you declare bankruptcy as a sole proprietor.

WHAT DO I USE THE EIN TAX ID NUMBER FOR?

An IRS EIN is required in order to conduct many business activities.  The most basic business activities requiring a TIN number include: filing a business tax return with the IRS, filing for government licenses or other business permits, hiring employees, getting paid from vendors for goods or services provided, opening a business bank account or merchant account to collect credit card payments, and obtaining a business loan or business credit card.  As you can see, it's virtually impossible to conduct any sort of business in the United States without getting an EIN number first.

CAN I APPLY FOR AN IRS EIN NUMBER IF I DON'T HAVE A SOCIAL SECURITY NUMBER?

All US citizens and residents with a Social Security Number (SSN) must supply their SSN during the online EIN application process.  International applicants with an Individual Taxpayer Identification Number (ITIN) must supply the ITIN during the EIN tax ID number application.  Foreign applicants without a previously issued ITIN don't need to fret.  We can aid those individuals to obtain the EIN number without acquiring the ITIN first, saving both time and money.  The process to obtain an ITIN takes a minimum of 8 to 12 weeks.  The ITIN is notoriously hard to obtain requiring many specific documents to be provided to the IRS before the tax ID number is issued.

CAN I APPLY FOR A FEDERAL EIN TO OPEN A BANK ACCOUNT?

Sole proprietors operating with their Social Security Number (SSN) may wish to get an EIN number for the purposes of opening a bank account.  With a bank account under the business name, it helps to keep business expenses and personal expenses separate.  Certain entities, such as a church youth organization, may never need to hire any employees or file any IRS tax returns, but may benefit from having a bank account just for the organization to organize events and manage expenses.  International businesses may also wish to obtain an IRS tax ID number solely for the purposes of opening a business bank account in the United States.

WHAT STEPS ARE INVOLVED IN GETTING AN EIN NUMBER?

If the legal entity is either a corporation or a limited liability company (LLC), you will first need to register the business with the relevant State to ensure the legal entity name is approved.  For corporations, you must first obtain a Certificate Of Incorporation.  For limited liability companies (LLCs), you must first obtain the Articles Of Organization.  This requirement is not necessary for all other entity types.  When you are ready to complete the online EIN registration, there are 4 simple steps:  (1) select the correct EIN application for your entity type, (2) correctly complete and sign your tax ID number application online, (3) pay the correct EIN application fee, and (4) receive your IRS EIN over email and mail.

HOW LONG DOES IT TAKE TO RECEIVE A FEDERAL EMPLOYER IDENTIFICATION NUMBER?

US applicants with a SSN and a US-organized entity generally receive their federal tax ID number within 1 business day by email.  Clients who complete the tax ID number application before 7pm PST generally receive their IRS EIN number within the same business day. EIN applications sent to us after 7pm PST are processed on the next business day.  The IRS will mail the official EIN notification letter to the EIN applicant within 2 to 3 weeks.  Foreign applicants with or without an ITIN and a US or foreign organized entity generally receive their federal tax ID by email within 4 to 7 business days.  The IRS will mail the official EIN notification letter to the international EIN applicant within 3 to 4 weeks.  Depending on the IRS' workload, their processing time for international EIN applications can vary.  We make our best effort to submit your international EIN tax ID form to the IRS within 1 business day for processing.  Please note: If there are any mistakes in your EIN application, it may delay the estimated processing times.

CAN THE IRS ISSUE MORE THAN ONE FEDERAL EIN NUMBER TO ME?

If you are operating as a sole proprietor, the IRS can only issue 1 federal tax ID number to you.  Whether you own 1 business or 10 businesses as a sole proprietor, you will use the same EIN number.  However, if you also own a corporation or a LLC, then you are able to obtain a taxpayer identification number for the corporation or LLC as its considered a separate entity from yourself.  It's important to note that the IRS can only issue 1 employer identification number to a specific responsible party per day.  Thus, a client submitting EIN applications for different entities (i.e., multiple trusts) within the same day will need to wait longer for the IRS to issue the multiple EINs.

WHAT TYPE OF PAYMENT METHODS DO YOU ACCEPT?

HOW CAN I CHECK THE STATUS OF MY TAX ID NUMBER APPLICATION?

In most cases, you do not need to check the status of your application.  Our domestic EIN application service only takes 1 business day!  Most likely we'll email you the IRS EIN number before you even have the chance to request for a status update.  If you have not received an email from us containing the IRS EIN number within 1 business day for a domestic application, please check your spam/junk mail folder.  If there are any problems with your submitted information, we will also contact you by email within 1 business day.  If you require a status update for either a domestic EIN application, international EIN application or our other federal tax ID services, please send an email to info@ein-number.net.  We respond to all inquiries within 1 business day.

CAN MY EIN APPLICATION BE REJECTED BY THE IRS?

Yes, under certain circumstances the IRS can reject the taxpayer identification number application.  The IRS rejects EIN applications when there is another entity in the IRS system with the same or similar legal entity name.  If the entity is a corporation or LLC, then we would request the client to fax or email us their Articles of Incorporation or Articles Of Organization.  With this documentation, we are generally able to get the federal EIN issued successfully.  For all other entity types, we would contact the client with the issue and aid the client in finding another registrable legal entity name.  The IRS also rejects EIN applications when the entity already has a previously assigned employer identification number.  In such cases, we would not be able to obtain another IRS tax ID number for the client. 

HOW CAN I CORRECT A MISTAKE I MADE ON MY EIN APPLICATION?

If you email us before we submit the EIN application to the IRS, then we can correct the mistake before the tax ID form is filed.  If the tax ID number has already been issued by the IRS, then the process is more complicated.  In this case, we would provide you with clear instructions on how to make the correction with the Internal Revenue Service.  For a fee, we can help you with a responsible party or address change.  Please ensure that you double check all the information on the EIN application form before you submit the form to us for processing.

CAN I USE THE ISSUED IRS TAX ID NUMBER RIGHT AWAY?

Yes, you can use the IRS issued EIN number right away.  You may wish to use the tax identification number to open a bank account, apply for a business license, file a tax return by mail, etc.  Please note that it will take approximately 2 weeks for the IRS to update all of its databases with the newly issued federal tax ID number.  Thus, you will need to wait a little while if you are trying to file an electronic tax return, make an e-payment, or pass an IRS Taxpayer Identification Number (TIN) matching program.

HOW CAN I PROVIDE VERIFICATION OF MY FEDERAL TAX ID NUMBER FOR A BANK OR VENDOR?

Banks and vendors have different requirements as to the type of documentation that is accepted.  Some banks and vendors only require that you provide the IRS EIN number, while others require the official EIN notification letter.  If the bank or vendor requires the official EIN letter, you will need to wait for the IRS to mail it to you directly.  It usually takes between 2 to 4 weeks after the IRS tax ID number is issued to receive the official EIN notification letter in the mail.  The time frame will be shorter for domestic applications and longer for international applications.  If a month or more has past and you have yet to receive the official EIN notification letter in the mail, then please contact us.  We may be able to help you obtain an EIN confirmation letter from the IRS.  We can provide this as a courtesy service to previous customers who obtained the IRS tax ID number through our website.  Even if you obtained the federal EIN through another provider, we can still help!  Please check out our EIN confirmation letter service.

CAN I CANCEL AN ISSUED EMPLOYER IDENTIFICATION NUMBER WITH THE IRS?

Unfortunately, once an EIN number is issued, it cannot be canceled with the IRS.  The IRS will never re-use or re-issue the same federal EIN to another legal entity.  The tax ID number forever belongs to that entity.  However, the IRS can close the business account associated with the federal employer identification number.  To close the business account, mail the IRS a letter with the following information: the complete legal name of the entity, the federal tax ID number, the business address and the reason you wish to close the account. If available, include a copy of the official EIN notification letter that you received at the time the EIN number was issued.  Mail the documents to: Internal Revenue Service, Cincinnati, Ohio 45999.

HOW CAN I CANCEL MY ORDER?

You can cancel your order if you send us an email (and we receive that email) before we start work on the selected EIN service.  Once we start work and/or submit the EIN application, request the EIN verification letter, or submit the information change request to the IRS, the order cannot be canceled. 

WHAT IS YOUR REFUND POLICY?

If you contact us to cancel your order BEFORE we start work on the service and/or submit the application to the IRS, then we will refund your total fee (plus GST or HST for Canadian applicants).  Once we start work and/or submit the request to the IRS, there will be no refund granted.  We will only provide a refund if we are unable to successfully provide the requested service, such as the IRS refuses to issue you an employer identification number or an EIN verification letter.
